Job Description

An Administrative Specialist supports the Education & Leadership Foundation's administrative needs across our admin, immigration, special projects, and education departments. Their main duties include supporting employees and clients in tasks related to:
● recruitment & staffing
● information & referral
● training & development
● operations and compliance
● health & safety

Responsibilities & Requirements

MINIMUM REQUIREMENTS

● two years of post-secondary education and/or comparable work experience in areas such as human resources, business administration, organizational leadership/management, information & referral services, etc.

● valid CA driver’s license & reliable transportation to and from work sites

● work authorization as a W-2 employee (see I9 requirements)

● bilingual & bi-literate in Spanish and English


Performance area: Reception Functions

● Support the Education Leadership Foundation (ELF) by answering phone calls courteously and directing callers to the appropriate personnel or taking detailed messages.

● Welcome visitors and clients warmly, assist with inquiries about ELF services, and ensure a pleasant visit by addressing any immediate needs.

● Office Coverage: Provide office support, which may include answering phones, participating in outreach events, and assisting with casework as necessary.

● Coordinate appointments with clients in collaboration with the team.


Performance Area: Recruitment & Onboarding

● support the recruitment & onboarding process for about 70-120 positions annually by reviewing candidates, completing phone screens, scheduling interviews, and completing pre-hire onboarding for candidates.

● participate & support orientation & onboarding for 2-10 new hires each week across all departments

● oversee completion of onboarding requirements for new employees to ensure completion of 90 evaluations and training checklists.

● recruit at job fairs, community events, and outreach events 2-3 times per month

● Creates 3 badges for all ELF team members, staff, volunteers, fellows, independent contractors, and others.

● Assist HR with the preparation and distribution of onboarding packets for new hires.

● Updates all Job Descriptions and Performance Reviews for all ELF positions as needed.


Performance Area: Information & Referral

● provide accurate, professional, and timely information to all incoming inquiries related to the primary service area

● perform daily duties from the assigned front reception desk, answer administrative services extension calls, and provide employees & staff that enter their assigned front desk.


Performance Area: Training & Development

● work collaboratively to update performance metrics, job descriptions, and positions to support performance goals related to designated support areas.


Performance Area: Operations & Compliance

● assist with employee personnel document verification and re-verification related to I9s, W4s, DE-4s, COVID compliance, TB testing, sexual harassment training, mandated reporter training, etc.

● order supplies, including food for events/programs, office supplies, furniture, and non-IT equipment as directed

● support daily, weekly, and monthly facility upkeep initiatives in staff and client spaces that may include taking out trash, sweeping, mopping, organizing, etc.


Performance Area: Health & Safety

● conduct daily inspections of designated vehicles and buildings to check for proper functionality, work conditions or concerns, general health & safety of clients and staff, etc.

● support the employee help desk ticket system by reviewing and completing tasks to support employees and/or clients as needed.


Environmental Conditions & Requirements:

● Work generally takes place within an office environment. Air quality is good, with typically adequate lighting at desks/workstations. Noise conditions are moderate and limited to self and others on telephone calls and general interactions with coworkers and the public.


Physical Requirements:

● Must be able to lift up to 20 pounds and push up to 50 pounds (on wheels).

● Must be able to hear staff on the phone and those who are served in person and speak clearly to communicate information to patients and staff.

● Must be able to read memos, computer screens, personnel forms, and clinical and administrative documents.

● Must have high manual dexterity.

● Must be able to reach above the shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouch, reach, kneel, twist/turn
